  • CRM without a user interface – Vaula and MCP

    What if a salesperson no longer had to log in to the CRM?

    Not because the CRM would be unnecessary. But because the CRM would work where the salesperson already is.

    This is no longer just an idea. It is possible now.


    What does MCP mean in practice?

    MCP, or Model Context Protocol, is a standard that allows AI tools, such as Claude, to connect with external services. Not only as a reader, but as an actor authorized by the user.

    In practice, this means that AI can, with the user’s permission, perform actions in Vaula. Create leads, update deals, add tasks, move deals from one stage to another, and log notes.

    Exactly the small things that make up a salesperson’s everyday work.


    How to connect Vaula to Claude

    Connecting Vaula takes less than a minute.

    In Claude, go to the Connectors section and add a custom connector. The URL is the address of your own Vaula environment in this format:

    https://COMPANYNAME.vaula.pro/api/mcp

    When you click add, you will be redirected to the Vaula login page. Log in and approve the authorization. After that, Claude can act in Vaula with the permissions granted by the user.

    Claude does not get general access to everything. It operates based on authorization. You decide what permissions you grant and what Vaula data the agent can access.


    What can you do after that?

    Here is one practical example of how this helps in everyday sales work.

    You have just called a prospect. You learned that they are using a competing service, they are interested in a meeting, and they want to take a closer look before making a decision.

    Instead of opening the CRM, finding the right lead, writing notes, updating the stage, and creating a separate calendar entry, you can do everything with one message.

    Claude logs the notes under the correct lead in Vaula, updates the stage, and creates a calendar invitation directly in Google Calendar.

    You did not have to log in to the CRM once.


    Why is this a big deal?

    The biggest problem with CRM is not the lack of features. It is lack of use.

    Salespeople do not update the CRM because it feels like extra work on top of selling. Information stays in their head, emails, and notes. Data becomes outdated. Management cannot see the situation clearly. Automation does not work because it does not have clean data.

    MCP significantly lowers this threshold.

    When CRM can be used with natural language in the same place where other work happens, using it feels less like extra work. And when the CRM is used, data accumulates. When data accumulates, reporting, management, and automation also start working better.

  • Subscription Terms and Billing

    1. Subscription Model and Pricing

    Vaula CRM is offered as a per-user licence. All features are included in the price with no separate add-on packages.

    All prices are exclusive of VAT (0% VAT). VAT will be added to invoices at the applicable rate.

    2. Licence Management

    • The customer organisation may purchase any number of licences.
    • Licences are per-user but may be transferred to a new user within the organisation via the Vaula CRM user management settings.
    • Purchased licences are non-refundable if the number of users decreases during a billing cycle.
    • Additional licences may be purchased at any time. The licence fee will be prorated for the remaining billing cycle.

    3. Changing Subscriptions and Billing Cycles

    • Switching between monthly and annual billing is permitted.
    • Changes to billing or licence count take effect at the start of the next billing cycle.
    • Billing takes place in advance according to the selected billing cycle (monthly or annual).

    4. Price Changes

    The Service Provider reserves the right to amend pricing. Existing customers will be notified of price changes by email at least 60 days before they take effect.

    If the User does not accept the new pricing, they may cancel their subscription before the price change takes effect without additional charges.

    5. Cancellation

    • Subscriptions may be cancelled through the Vaula CRM application or by contacting info@vaulacrm.fi.
    • Cancellation takes effect at the end of the current billing cycle. The User retains access to the service until then.
    • The Service Provider will send the User a reminder by email 14 days before access expires and data is deleted.
    • The User has the opportunity to export their data in machine-readable format (CSV or equivalent) before access expires.
    • Once access expires, the system and all data it contains will be deleted within 30 days. Deleted data cannot be recovered.

    6. Invoicing and Payment Terms

    • Invoices are sent electronically to the billing address provided.
    • Payment terms are 14 days net from the invoice date.
    • Late payment interest is charged in accordance with the Interest Act.
    • A payment reminder will be sent for unpaid invoices. If payment is overdue by more than 30 days, the Service Provider reserves the right to suspend access to the service until payment is received.

    7. Governing Law and Disputes

    These subscription terms are governed by Finnish law.

    Any disputes will be resolved primarily through negotiation between the parties. If negotiations do not lead to resolution, disputes will be settled in the District Court of Helsinki.

  • Terms of Service

    1. Parties

    These Terms of Service govern the Vaula CRM service provided by Alvarius Oy (Business ID: 2529942-4, Bulevardi 46, 00120 Helsinki, Finland) (“Service Provider”).

    The organisation or individual using the service (“User”) accepts these terms by registering or using the service. Use of the service constitutes acceptance of these terms.

    2. Service Description

    Vaula CRM is a browser-based B2B sales CRM. All features included in the current pricing are available without separate add-on packages.

    The Service Provider continuously develops the service. New features may be added and existing ones modified. Users will be notified of significant changes by email or through the service at least 30 days in advance. Continued use of the service after a change notification constitutes acceptance of the changes.

    3. Fees and Payment

    The service fee is in accordance with the current pricing, available at vaulacrm.fi.

    Invoicing takes place in advance according to the selected billing cycle (monthly or annually).

    Late payment interest is charged in accordance with the Interest Act.

    If a subscription is cancelled mid-cycle, the period already paid for will not be refunded. The User retains access to the service until the end of the billing cycle.

    4. Intellectual Property and Data Ownership

    The Vaula CRM software, its structure, appearance, and all related intellectual property rights belong to Alvarius Oy.

    The User owns all data they enter into the service (customer data, leads, notes, etc.). The Service Provider does not use the User’s data for any purpose other than the technical provision of the service.

    Upon termination of the agreement, the Service Provider will, upon request, deliver the User’s data in a machine-readable format (CSV or equivalent) before deletion.

    5. User Responsibilities

    • The User is responsible for the accuracy and legality of the data they enter.
    • The User agrees to use the service for lawful purposes only.
    • The User is responsible for the appropriate safekeeping and use of their credentials.
    • The User must notify the Service Provider without delay if they detect unauthorised access or a security incident.

    6. Service Provider Responsibilities and Service Level

    The Service Provider aims to ensure high availability of the service. The target availability level is 99.5% on a monthly basis. This is not a binding SLA but reflects the design goal.

    The Service Provider is not liable for:

    • Indirect damages or loss of profit
    • Loss of data caused by the User’s actions or a third party
    • Service interruptions caused by force majeure or third-party infrastructure (e.g. cloud provider)

    The Service Provider is liable for damages caused by intentional acts or gross negligence.

    7. Data Protection and Security

    Personal data is processed in accordance with the separate Privacy Policy available at vaulacrm.fi.

    The Service Provider implements appropriate technical and organisational measures to ensure security in accordance with the EU General Data Protection Regulation (GDPR) and applicable legislation.

    8. Changes to Terms

    The Service Provider reserves the right to amend these terms. Users will be notified of significant changes by email or through the service at least 30 days before they take effect.

    If the User does not accept the amended terms, they may terminate the subscription before the changes take effect without additional charges. Continued use after the changes take effect constitutes acceptance of the new terms.

    9. Term and Termination

    The agreement is valid indefinitely and commences upon activation of the service.

    The User may terminate the service at any time with 30 days notice. Termination must be submitted in writing to info@vaulacrm.fi.

    The Service Provider may terminate the agreement with immediate effect if:

    • The User materially breaches these terms and fails to remedy the breach within 14 days of written notice
    • The User uses the service for unlawful purposes
    • Payment is overdue by more than 60 days

    10. Discontinuation of Service

    If Alvarius Oy decides to discontinue the Vaula CRM service, users will be notified at least 90 days in advance.

    During the notice period, Users will have the opportunity to export their data in machine-readable format. The Service Provider will assist with data migration as needed.

    11. Governing Law and Disputes

    These terms are governed by Finnish law.

    Any disputes will be resolved primarily through negotiation between the parties. If negotiations do not lead to resolution, disputes will be settled in the District Court of Helsinki.

    You can manage and delete cookies through your browser settings. Please note that disabling strictly necessary cookies will prevent you from logging in to the service.

    Upon request, data will be permanently deleted from the database (right to erasure).

    6. Recipients and Data Processors

    Personal data may be processed by:

    • Employees of Alvarius Oy for service maintenance purposes
    • Amazon Web Services EMEA SARL (AWS) – cloud infrastructure, servers located in the EU (Stockholm, eu-north-1)
    • Other technical subcontractors involved in maintenance or development of the CRM

    Data is not transferred outside the EU or EEA without appropriate safeguards (e.g. EU Standard Contractual Clauses).

    7. Automated Decision-Making and Profiling

    Vaula CRM does not use personal data for automated decision-making or profiling that produces legal or similarly significant effects on data subjects.

    8. Cookies and Usage Tracking

    The service may use technically necessary cookies for session management and security. Further details are available in the separate Cookie Policy.

    9. Rights of Data Subjects

    Every data subject has the right to:

    • Access their personal data (right of access)
    • Request correction of inaccurate data (right to rectification)
    • Request erasure of their data (right to erasure)
    • Request restriction of processing in certain circumstances

    • Receive their data in a machine-readable format (right to data portability)
